Purpose of the Role
The intern will assist the Site Liaison team in ensuring smooth staff mobilisation and demobilisation processes, accurate documentation handling, and effective communication between internal teams and external stakeholders.
Key Responsibilities
Logistics & Travel Coordination
- Assist with staff rotation schedules and internal system updates
- Support visa application documentation and filing
- Coordinate flights, accommodation, and transport arrangements
- Maintain accurate travel and visa records
Communication & Coordination
- Draft routine mobilisation and travel communication updates
- Confirm staff arrivals, departures, and logistics arrangements
- Maintain updated staff contact information
Staff Support
- Support onboarding and mobilisation/demobilisation processes
- Assist with checklists and documentation management
- Upload and manage documents on internal systems
- Coordinate training, orientation, and system access
- Assist with timesheets, expense claims, and medical forms
- Coordinate uniforms and staff communications
- Liaise with HR, Operations, and Recruitment teams
Customer Service & Relationships
- Provide proactive customer service support
- Build strong relationships with internal and external stakeholders
- Promote teamwork and collaboration
General Administration
- Assist with weekly and monthly reporting
- Attend team meetings for exposure and learning
- Track document expiry dates and renewals
- Support general administrative tasks
Health & Safety
- Follow company health and safety procedures
- Complete mandatory training
- Report hazards and incidents when required
Minimum Requirements
Education
- Currently studying towards or recently completed a tertiary qualification
Experience
- 1+ year exposure in logistics, administration, travel coordination, HR, or customer service (advantageous)
